Overview

This step-by-step guide shows Program Admins how to create Review Groups for Review Rounds in Next. 
 


Set Up a Review Round

Setting up Review Groups is part of the overall Review Round setup process.

This article begins after you’ve completed the second panel of the Review Round, where you choose Reviewer Assignments > Divide Applications in Groups.


 

 


Choose How You Want to Create Application Groups

Once you select "Divide Applicataions into Groups" a new option appears asking how you want to create the Application Groups.  

Choose from three options:

  • Randomize the assignment of all applications into a set number of groups.
  • Use a field in the application as a filter for the groups.
  • Create customized groups that will review all applications.


Randomize Assignments

To have Next randomly assign all submitted applications into a predetermined number of review groups, select this option.

⚠️IMPORTANT: To use this type of assignment grouping, there must be at least the same number or greater number of reviewers as groups (Example: If you create 2 groups, you must have at least 2 reviewers available to assign).

1. Select Randomize assignment of Applications into a set number of groups.

2. Select the number of review groups this round will have.

3. Click Next button in the bottom-right corner.

4. Go to the article ➡️Feedback Types and Setup in a Review Round to complete the next panel, where you choose how reviewers will provide feedback.


Use an Application Field

Choose this option if submitted applications need to be sorted into review groups based on how applicants respond to a specific field in the Intake Form (application).

⚠️IMPORTANT: Currently, you can only sort by Single-Select Fields (segmented control, radio button list, dropdown list).

1. Select Use a field in the Application as a filter for the groups.

2. Choose a single-select field from the application that you'll use to create the groups. 

📌Note: If there are no single-select fields on the Intake form, the following message appears: "No single-select options in the application." 

3. Click Next button in the bottom-right corner.

4. Go to the article ➡️Feedback Types and Setup in a Review Round to complete the next panel, where you choose how reviewers will provide feedback.


Customized Groups

Choose this option if you want to create custom groups, where each group reviews applications for different types of information

  • Examples include compliance checks, legal requirements, or any area where reviewers use their own criteria

1. Select Create customized groups that will review all Applications.

2. Select the pencil icon to rename the two default groups.



 

⚠️IMPORTANT: Group 1 and Group 2 can be renamed but not deleted.  There cannot be less than two groups. 

3. Select +Add New Group to add a third group.

4. Select the pencil icon to rename the third group.

5. Repeat steps 3 and 4 until all desired groups are created.

6. Click Next button in the bottom-right corner.

7. Go to the article ➡️Feedback Types and Setup in a Review Round to complete the next panel, where you choose how reviewers will provide feedback.
