This step-by-step guide shows Organization Owners how to set up and use the Docusign Integration in Next.

What Is Docusign Integration?

Docusign Integration allows you to send, track, and manage eSignature requests for Award Agreements* directly within Next.

  • With Docusign Integration, you can:
    • Send award agreements to recipients without leaving Nex
    • Track signing progress in real time and view status updates.
    • Set automated reminders for signers who haven’t completed signatures.
    • Resend or void envelopes as needed.
    • Access audit logs and document tracking for compliance and accountability.

*📌Note: An Award Agreement is a document that outlines the terms, conditions, and expectations an awardee must accept to receive a specific award.


Step-By-Step Instructions

Initial Setup 

Connect Docusign 

  1. Logged in as the Organization Owner, Click Settings
  2. Select Integrations.

3. Click Connect next to Docusign.

You'll be redirected to Docusign where you'll sign in with your credentials; click "Allow Access" to authorize Next.

Link Program Awards 

  1. In your program, click the gear icon to access Program Settings

2. Navigate to the Program Setup tab and select Award Listing

3. Find the "Link DocuSign Account" column and select the Docusign account from the dropdown.


 


Create Award Agreement Templates

Prepare Docusign Envelope Templates

  1. To learn more about creating Award Agreement Templates, please reference this article.

2. Navigate to Program > Cycle > Award> Agreement to create your Docusign Envelope. Template.

3. Select Docusign Envelope in the top right corner of the template editor.

4. In the modal that appears:

Attach supporting documents (optional): Select any additional documents to include with the agreement. These documents will be attached but not require signatures.

Configure default signers: Choose who will sign most of your award agreements:

  • Use the dropdown to select internal team members
  • Select "+New Signer" to add external stakeholders
  • Note: You'll add specific awardees later when customizing individual agreements

Set signing order: Determine the sequence in which signers must complete their signatures. You can also set this when customizing individual agreements.

5. When finished, click Save.

Define Agreement Content 

  1. Input the standard contract language, terms, and conditions. 

2. To insert standard Docusign placeholders into the Award Agreement.

  • Expand the Docusign Placeholder section
  • Choose the signer
  • Insert Docusign placeholders in the relevant spots in the template.

 

Finish customizing your Award Agreement Template and Publish.
 


Manage Award Recipients

Designate Award Offers

2. After selecting the award amount and template, click the hyperlink to customize the Award Template

Customize Individual Agreements

  1. Click Docusign Envelope to configure the signing process. Upload any additional documents needed for the envelope, select the signers, which now shows the awardee, and set the routing order to determine the sequence of signatures.

You can also set the signing order and select save.

2. Finish customizing the award agreement, including adding the Awardee Signing Docusign Variables, if needed for the document. 

3. When finished with your Award Agreement, select Back to All
 


Send for Signature

  1. Select Notify Awardees on the list to send the envelope and begin the signing process. You will see that the Docusign placeholders have been successfully added by the green icon.

Next will automatically:

  • Send DocuSign envelopes to all configured recipients
  • Begin the signing process according to your routing order
  • Start tracking envelope status in real-time
     

Manage Docusign Envelopes

Real-Time Progress Tracking

Track the status of all your award agreements directly within Next with real-time updates on envelopes sent, signatures completed, pending signatures, and completed agreements.

Envelope Management

  1. Navigate to Program > Cycle > Envelope Management to manage your Docusign envelopes.

Sending Reminders: Select the envelopes to send reminders to and click Remind. Confirm that you want the next signer for each selected envelope to receive a notification.

Voiding Envelopes: To cancel an agreement in progress, navigate to the Trigger Form record where the eSignature request was initiated. Click Void envelope on Docusign and provide a reason for voiding the request in the text box that appears. Click Void to confirm.

Download: Summary and Executed Agreement

Envelope Log: Each Docusign envelope will display a status based on its progress. To see the log, select the hyperlink under the signer.

Review Signed Agreements

To review the fully executed signed agreement, you must download a PDF copy. There are three locations where you can access and download signed agreements:

  1. Envelope Management: Navigate to Program > Cycle > Envelope Management and download a PDF of the signed agreement. This version will display all signatures from all parties.
  2. Award Recipients: Access the signed agreement directly from the Award Recipients section and download the completed document.
  3. Amendments: Download the signed agreement from the Amendments section if changes were made to the original award.

Note: The signed agreement must be downloaded to view it - it cannot be previewed directly within Next.
 


Awardee Experience

Recipients of your award agreements will receive email notifications from Docusign with signing instructions, an easy-to-follow signing process, automatic confirmation once complete, and a copy of the fully executed agreement.

After all parties have signed the agreement, awardees must still log into their portal to formally accept the Award Agreement. 
 

Important Requirements

  • Your organization must have an active Docusign Business Pro account
  • Award agreement templates must be set up in Next (the integration doesn't use Docusign templates)
     

Revoke Access

If you need to disconnect Docusign, log into your Docusign account and revoke access through your account settings.
