Overview
This article covers the process of selecting candidates for awards in Next.
Introduction
Depending on the setup of the cycle, awarding either occurs after the final review round or can be ongoing with rolling cycles. (Please see the articles titled Rolling Cycles Setup and Rolling Cycles Administration for more information about ongoing, rolling cycles.) This article will provide information for both types of cycles.
Cycles with Review Round Deadlines
For cycles that have a definitive deadline for the review round, the process of selecting intended award recipients happens once. However, depending on the responses to the award offers, additional recipients may be selected.
Start Final Decision
After all review assignments are completed, or the review round deadline has passed, the Program Owner will see the Start Final Decision button on the review round screen.
To start the final decision process:
- Logged in as the Program Owner, navigate to the review round data screen.
- Select the Start Final Decision button.
- A popup message appears asking for confirmation to start selecting award recipients; select the Start button.

Once the final decision is started, all reviewer feedback is no longer editable.
Immediately after the selection process is initiated, Next provides a brief walkthrough tutorial on how to select award recipients.
To skip the walkthrough tutorial, select Skip on the message.
To participate in the walkthrough tutorial, read the contents of the message then select Next to move to the next message.
Continue to read through the tutorial as needed. Select the Back button to revisit the previous message.
On the last message, select the Finish button to dismiss the message.

The walkthrough tutorial only appears once, after the award process is initiated. The tutorial does not appear again when revisiting the page.
Select Award Recipients
After completing or dismissing the walkthrough tutorial, candidate selection for awards can begin. To select submissions for awards:
- Select the checkbox to the left of the Applicant ID for any candidate intended to receive an award.
- To quickly select all submissions, select the checkbox next to the Applicant ID title in the table header.
- Select the Add Selected button to add the selected candidates to the list of potential award recipients.
After the Add Selected button is pressed, the checkboxes of the selected candidates will appear greyed out.
Further, the Add Selected button will not be selectable again unless additional candidates’ checkboxes are selected.
If the selections are satisfactory, move to the next step to finish the decision.
View Selected Award Recipients
To review the list of potential award recipients, especially when managing a long list of submissions, select the View Selected button.
A window opens detailing the selected candidates. If everything is acceptable, close the window by selecting the Cancel button.
If any candidates need to be removed from the list:
- Select their corresponding red X to the far right of their names and information about their reviews.
- The candidate will immediately be removed from the list. Repeat this process to remove any candidates who should not be on the list.
- Select the Done button when finished.

Viewing Selected candidates is not a necessary step before moving on to awarding; it is a helpful tool when managing a large number of candidates.
Cancel Selection
To cancel the award recipient selections and start over:
- Select the Cancel Selection link at the top of the page.
- A popup message appears asking to confirm the cancelation of the selection. To confirm and start the selection process over, select the Cancel Selection button.
A popup message briefly shows at the top of the screen confirming the selections have been canceled. At this point, the entire process must be started again from the first step of selecting the Start Final Decision button.
Finish Decision
- Once all selections are complete, select the Finish Decision button.
- A popup message appears asking for confirmation to finish selecting award recipients; select the Finish button to confirm.
- The messaging on the review round screen changes to Final Applications Chosen and a popup message displays with information about how to navigate to the Award Recipients page to select awards and notify recipients; select the Got it button to dismiss this message.
- The Status column on the review round screen now displays statuses related to being selected for an award; the two statuses shown are:
a. Applicant Selected
b. Waitlisted
At this point, if any additional candidates need selection for an award, they should be moved from the waitlist to awards. Please see the article titled Designate Award Offers and Agreements for those next steps as well as the process of designating the awards for each selected candidate.
Rolling Cycles
The process for selecting award recipients for rolling cycles is the same as for non-rolling cycles, but when it occurs is different.
Contrary to award cycles with definitive deadlines for intake and review rounds, rolling cycles are ongoing. Therefore, the timing of selecting award recipients in rolling cycles can begin as soon as one submission is moved through the last review round.
The timing and details of when award recipients are selected in rolling cycles are dependent on the needs of the cycle and will be different for each client. That being said, please refer to the process above to select award recipients when the timing is right.
