💡Pro Tip: Setting Intake Round Deadlines for Rolling Cycles
Overview
This step-by-step guide shows Program Administrators how to set up Rolling Cycles in Next.
What are Rolling Cycles?
Rolling Cycles are award cycles where you can move applications forward (e.g., from Intake to Review) at any time, without waiting for deadlines. The most common reason for enabling Rolling Cycles is if you want to manually move applications through the workflow, without waiting for deadlines.
-
In a Rolling Cycle, you can advance applications as soon as they come in. This allows the intake, review, and awarding processes to be ongoing, and oftentimes, happen at the same time.
This is different from a Deadline-Based Cycle, where you must wait for the Intake Round deadline to pass before moving applications to the first Review Round. (To learn more about the differences, see ➡️ Deadline-Based Cycles vs Rolling Cycles).
-
Who can enable Rolling Cycles?
- Organization Owner
- Program Owner
- Program Manager
⚠️IMPORTANT: Rolling Cycles must be enabled BEFORE the program cycle is tested or published. It cannot be turned on after entering Test Mode or Publishing your program.
Step-By-Step Instructions
Access Cycle Setup
1. Logged in as the Program Owner or Program Manager, select the program you need.
2. On the Program page, click Program Settings at the bottom of the left-hand menu.
3. Click All Award Cycles in the left-hand menu.
Enable Rolling Applications
⚠️IMPORTANT: Rolling Applications must be toggled on BEFORE the program cycle is tested or published.
1. Click the Open button for the desired award cycle.
2. On the Cycle Setup page, toggle Enable Rolling Applications to Yes.
3. Click Save Changes in the upper-right corner.
The cycle is now set up for rolling applications.
💡Pro-Tip: Setting Intake Round Deadlines for Rolling Cycles
Even though Rolling Cycles let you move applications at any time, you still need to give the Intake Round a deadline in the Workflow Builder.
Before Activating Test Mode or Publishing: Give the Intake Round a deadline date that is far enough in the future to allow for ongoing movement of submissions through the program cycle.
For example, if your Rolling Cycle ends at the end of the year, set the intake deadline to January 1 of the following year (or later).
