Downloading PDFs and Exports

Export PDF’s and large datasets without interruptions using our new background processing system. We're transitioning all downloads in Submittable Next to a centralized Downloads page that uses background processing for reliable, uninterrupted exports. While this transition is underway, you may experience two different download methods depending on the type of file you're exporting. This article explains both scenarios and provides instructions on accessing your files.

Download Page Experience

How It Works

The new Downloads page uses background processing to handle large exports without timeouts or interruptions. When you request a download that uses this system, the file is prepared behind the scenes while you continue working in Submittable Next.

Download a file

Select the download icon to start download. 

Pop up will appear that will give instructions on where the download will appear.


 

Green confirmation message will indicate that your file will appear on the Downloads page, you will also receive an email when the download is complete.

Accessing the Downloads Page

Click your name in the top right corner of Submittable Next.

Select "Downloads" from the dropdown menu.

All completed exports will appear in a list showing the file name, file type, date requested, and download status.

Click the download icon under Actions to view your download.

Files That Use the Downloads Page

The following exports currently use the Downloads page:

  • Application Package downloads
  • All Application Data exports
  • Custom View exports
  • Awardee Details exports
  • Award Agreement
  • Docusign Envelopes
  • Progress Report exports

Direct Download Experience

How It Works

Some files in Submittable Next still use the traditional direct download method. When you request these files, a pop-up message will appear with instructions.

What to Expect

After clicking to download or export, a pop-up message will appear indicating that your file is being prepared.

The message will tell you to either:

  • Stay on the current page while the file prepares, or
  • Check your email for a download link when the file is ready

Follow the instructions in the pop-up based on the type of file you're downloading.

If instructed to check your email, you'll receive a notification with a download link once the file is ready.

The link above will take you to the page to download.

Download the file directly to your computer through your browser

How to Know Which Experience You'll Get

Look for the confirmation message after clicking download or export. This message will clearly state where to find your file.
