Overview
This step‑by‑step guide shows Organization Owners and Client Admins how to set up and use the internal‑only Applicant Insight Form.
⚠️ IMPORTANT: Applicant Insight Forms must be enabled for your organization. If you do not see it as an option in your organization settings, please contact Customer Success.
What is the Applicant Insight Form?
The Applicant Insight Form is an internal form you can use to store important information about each applicant in your organization, such as internal notes, award history, and other key details.
This information stays with the applicant across all programs in your organization.

Who can access it?
- Organization Owners and Client Admins: Build the form and fill it out for each applicant.
- Program Admins (Program Owners, Program Managers, Program Staff): View the form during Intake and Review, but cannot edit it.
📌 Note: Reviewers and Applicants cannot see the Applicant Insight Form at any time.
Step-By-Step Instructions
Organization Owners and Client Admins build the Applicant Insight Form and fill it out for each applicant.
Step 1: Build the Applicant Insight Form
In this step, you’ll build the Applicant Insight Form.
1. Logged in as the Organization Owner or Client Admin, click Settings in the top menu.
2. Under Organization Settings, click Applicant Insight Form.
3. (Optional) Click the title of the form to rename it, if desired.
📌Note: This is the name that will appear in the Participant Network side menu (where you'll out the form for each applicant) and in the application view for Program Admins.
Add Form Fields
Adding fields to the Applicant Insight Form works the same as adding fields to any other form in Next.
1. Click +Add Fields and choose the field type you want.
2. Configure the field settings as needed.

📌Note: Some field types are not available in the Applicant Insight Form.
Copy, Reorder, and Delete Form Fields
You can copy, reorder, or delete fields using the same process you use for other forms.

Publish the Form
1. Once you’re done building the form, click Publish in the upper-right corner to save your changes. (You can edit and republish this form at any time)
⚠️IMPORTANT: Changes are not saved until you click Publish. If you leave the page without publishing, a pop-up will ask if you want to leave without saving.
2. In the confirmation pop-up, click Confirm.
📌Notes:
- Publishing makes the form visible in the Participant Network, where it can be filled out. It will also be visible to Program Admins in Intake and Review Rounds as read-only.
- Any time you update and republish the form, the changes apply to all Applicant Insight Forms, including ones that were already completed.
Step 2: Complete the Applicant Insight Form for Each Applicant
In this step, you’ll fill out the form for each applicant you want to add information for.
⚠️IMPORTANT: Only Organization Owners and Client Admins can fill out Applicant Insight Forms.
1. Click Participant Network in the top menu.
2. Click the name of the applicant you want to update.
3. In the applicant’s information box, select Applicant Insight Form in the left-hand menu. (This may be called something else if you renamed the form when building it)
4. Click Edit in the upper-right corner
5. Fill out all required fields in the form, and optional fields as needed.
6. Once you’re finished completing the form, click Save in the upper-right corner.
📌Note: You can return to this form at any time to edit your entries. Any updates you make will automatically apply to all of the applicant’s current and future applications.
What Program Admins See (Read-Only Access)
- Program Admins (Program Owners, Program Members, and Program Staff) can view the Applicant Insight Form within individual applications in the Intake and Review Rounds, but they cannot edit it.
📌Reminder: Applicants and Reviewers cannot see the Applicant Insight Form.
- When Program Admins open an application in Intake or Review, they can:
- Scroll to the end of the application to see the Applicant Insight Form, or
- Click Applicant Insight Form in the section links at the top to jump directly to it. (This may be called something else if you renamed the form when building it)
📌 Note: If you published an Applicant Insight Form but haven’t filled it out for that applicant, Program Admins will see a blank section with the message: “This form has not been completed for this participant.”
