Overview

This step‑by‑step guide shows Program Admins how to reverse (reinstate) a disqualified application in an Intake or Review Round.

What is the Reverse Disqualification Feature?

The Reverse Disqualification feature lets Program Admins “undo” an application disqualification from the Admin Controls panel in an Intake or Review Round. 

  • When you reverse a disqualification:
    • The application returns to its last active status (e.g., Submitted, Revision Requested, Under Review, etc.).
    • All reviewer feedback and scores stay the same.
    • The applicant is notified of the status change.
  • Use this feature when: 
    • The application was disqualified by mistake. 
    • Your team decides the applicant should be reinstated.
  • Who can reverse a disqualification: 
    • Organization Owners 
    • Program Owners 
    • Program Managers

⚠️Important Notes: 

  • You can revert a disqualified application in both rolling and deadline-based cycles. 
  • You can only reverse a disqualified application in active rounds (aka, you cannot go back to inactive (closed) rounds and reverse a disqualified application). 

Step-By-Step Instructions 

To reverse a disqualification: 

1. Open the Program you need. 

2. Click the Intake or Review Round where the application is located. 

3. Click the link under the Applicant ID column to open the disqualified application. 

4. In the application, click Admin Controls in the upper-right corner.


5. A panel opens. In the panel’s Workflow tab, click Reverse disqualification


📌Note: From this tab, you can also click View disqualification details to see why the application was originally disqualified. 
 

6. Click Next in the bottom-right corner. 

7. A message appears: “Reversing this disqualification will restore the application to its previous status and the applicant will be notified.” 

8. Click Reverse Disqualification

9. In the confirmation pop-up, click Reverse Disqualification again to finalize the reversal. 

📌Note: There is currently no comment field to explain why the disqualification is being reversed.

10. A notification appears in the bottom-left confirming the application disqualification was successfully reversed. 


What Happens After You Reverse a Disqualified Application? 

Application Status

The application automatically returns to the last active status it held before being disqualified. 

  • Admin View: 
    • The application reverts to its previous status. 
      • In an Intake Round: Submitted, Revision Requested, etc.
      • In a Review Round: Under Review, Under Review (Revisions Requested),etc.
  • Applicant View:  
    • The application returns to its last known status (Example: Under Review or Revisions Requested)

Applicant Email Notification 

The system automatically sends an Applicant Disqualification Reversed email once the change is finalized.

  • The email does not include a reversal reason, and there's no option to add one to the template.  
     
  • It is enabled by default in Communications Setup under the Review tab. 
     
  • You can create a custom template or remove the default email from your communications setup, if desired: 
     

📌 Note: If an application is reversed during Intake, the system still uses the Review Stage email.


Reviewer Experience 

  • All previous feedback and scores remain.
  • Reviewers may edit their feedback if needed.
