Overview

This guide shows Program Admins how to add Profile Checks to a Progress Report so awardees can review and update their profile before submitting a report, and a snapshot of their updated profile is captured. 
 


What Are Profile Checks?

Profile Checks let awardees review and update their profile—such as names, addresses, and organization details—before submitting a Progress Report.

When the report is submitted, a read‑only snapshot of the updated profile is captured and included in the Progress Report for Program Admins to view.

How to Set Up Profile Checks

Enable “Include Profile Form” on Report Form(s)

⚠️IMPORTANT: You can enable Profile Checks on both published and unpublished Report Forms.

  • Who can enable “Include Profile Form”? 
    • Organization Owners 
    • Program Owners 
    • Program Managers
  1. Open the award cycle (Program Settings > All Award Cycles > Click Open next to the award cycle). 
     
  2. On the Cycle Settings screen, click Post Award in the top menu. Select Report Forms from the left menu, if not already selected.


     
  3. Click Open next to the Report Form.
     
  4. Click Include Profile in the upper-right corner.


     
  5. In the pop-up, make sure Include Profile Form is toggled to YES. 

 


Choose Which Profile Fields to Include in Admin Views

  1. Select which Individual and/or Organization Applicant Profile fields appear as column options in the Post Award > Progress Reports screen and in the Admin view of an awardee’s report. Fields not selected won't appear in either place. 

📌Note: These settings only control which fields appear to Admin. Awardees will still see and update all profile fields during verification. You can return to edit these at any time.
 

A. To include all profile fields: Click the box next to Individual Applicant Profile or Organization Applicant Profile


B. To include specific profile fields: Click the down arrow on the far right to expand the profile, then select the fields you want to include. 

2. Click Save in the bottom-right corner. 

3. A confirmation message appears in the bottom-left. 


Awardee Experience

Use this section to understand what awardees see, so you can guide them if they have questions. 
 

➜ When “Include Profile Form” is toggled to YES:

  1. The awardee completes their progress report.
     
  2. When they click Continue to Submit, a “Verify Your Profile Information” page loads with their current information pre‑filled. 


     
  3. They can update any field in the profile form. 
     
  4. When finished, they click Save Profile & Continue, then Submit in the pop‑up. 
     
  5. A snapshot of their profile, exactly as it looked at submission, is attached to the report.
    📌Note: Awardees cannot edit the profile snapshot after submission.


➜ When “Include Profile Form” is toggled to NO: Awardees are not asked to verify their profile, and submit the report normally. 
 


View the Profile Snapshot 

Access the Progress Reports Screen

  1. Open the Program
     
  2. Click Post Award > Progress Reports in the left-hand menu. 
     
    • On the Progress Reports screen you’ll see a list of all reports submitted by awardees for that Award Cycle. 


Show/Hide Columns on Progress Reports Screen 

On the Post Awards screen, you can choose which profile fields from the snapshot to display as columns.

📌 Note: Only the fields you selected when enabling “Include Profile Fields” will be available as column options here. 

  1. Click the Show/Hide Columns (filter) icon in the upper-right corner of the table. 
     
  2. Scroll to the Individual Profile Snapshot and/or Organization Profile Snapshot sections. 

     

  3. Select the fields you want to add as columns in the table. 

A. To include all fields from the section: Select the box next to “Individual Profile Snapshot” or “Organization Profile Snapshot.” 

B. To choose specific fields: Click the down arrow on the far right to expand the section (if not already expanded), and select the fields you want to include. 

  1. The fields you selected now appear as columns in the table. 



    📌Notes: 
    • Columns from profile snapshots show data captured at the time of report submission, not the applicant’s live profile.
    • If a column has no data, it will appear blank.

Open an Awardee’s Progress Report to View Profile Snapshot

  1. On the Progress Reports page, click the hyperlinked name in the Report Name column. 




    2. The profile snapshot is visible at the top of the awardee’s report. 

📌Note: The profile fields are read‑only and reflect the profile at submission time.
