Overview

This article provides information about how administrators can view individual submissions and related reviewer feedback by review rounds in program cycles.

Access Submissions During a Review Round

Once a review round starts in either test mode or during a live program cycle, data will populate in the review round data view.  (Please see the article titled Data Views for more information.) Within that review round data view, an individual submission, its data, and any submitted reviewer feedback are accessible to program administrators. 

To access an individual submission:

1. Logged in as a program administrator, navigate to the appropriate review round.
2. On the review round data screen, once the review round has started, all submissions reviewed or not, display in a list.  

3. To access an individual record, select either its Applicant ID link or Applicant Name link from the list.

4. Once open, the information provided by the applicant will show.

Form fields, form sections, or entire forms can be hidden from reviewers, so they will only see what the administrative team has permitted them to see.  Please see the article titled Set Up a Review Round for more information.

With an individual application open, there are navigation buttons and links to look at the entire application, as well as an Admin Controls button:  

• The download button allows an administrator to download a PDF version of the application to view or print as needed.

• The Skip To… links allow an administrator to jump from section to section easily without having to scroll, which is especially useful when the intake form is long.

• The Back button takes the administrator back to the review round data view.

• Administrators can take additional actions on an individual application from the Admin Controls button; please see the article titled Manage Applications During Review for more information about that functionality.

• If one or more reviewers have submitted feedback on the application, the View Feedback button will indicate that with the number displayed between the parentheses.  In the example below, only one review has been submitted for this application.  Please see the article titled View Reviewer Feedback for more information.
