This step-by-step guide shows administrators how to duplicate (copy) an award cycle in Next.
 


Duplicating an Award Cycle

When you create a program, a default award cycle is automatically created in that program. Administrators must set up that cycle’s forms and workflow before it can be used.

  • When does it make sense to duplicate an award cycle? 
    • Typically, an award cycle is duplicated when one award cycle has ended, and a new cycle needs to start using the same forms and workflows.
  • Who can duplicate award cycles? 
    • Organization Owners
    • Program Owners 
    • Program Managers
  • What is duplicated?
    • When you duplicate an existing award cycle, its forms (eligibility, intake, request, and feedback forms) and workflow are copied into the new cycle. 
  • What needs to be set up in the new cycle?
    • Deadlines: You must set new deadline dates for all rounds.
    • Reviewer Assignments: You must assign reviewers to the review rounds in the new cycle.

Step-By-Step Instructions

Duplicate (Copy) an Award Cycle 

1. On the Program page, click Program Settings at the bottom of the left-hand menu. 

2. Click All Award Cycles in the left-hand menu. 

3. On the All Award Cycles page, click the Duplicate Cycle icon on the cycle that should be copied.

4. In the confirmation pop-up, click Duplicate.

5. A notification briefly appears in the middle of the screen while the cycle and its contents are being copied.

6. The duplicated cycle appears on the All Award Cycles page, with the word "Copy" at the end of its title.

 


Next Steps

  • Give your duplicated cycle a new name by clicking the pencil icon next to it. For more help, see ➡️Rename an Award Cycle.
  • Set new deadline dates for all rounds and assign reviewers to the review rounds in your new cycle.
     

Good to Know 

Keep these points in mind about award cycles:

  • You can have multiple cycles in Test Mode at the same time.
  • Only one cycle per program can be published (live) at a time.  To publish a new cycle, you must close the currently published cycle first.
