Collaborating as an Organization

When applying as an organization, you can invite co-workers, peers, and other team members to collaborate on your application. This feature allows multiple individuals to work together on applications and share post-award responsibilities, enabling teams to contribute their expertise while maintaining proper access controls and role-based permissions.

Note: This functionality is only available for Organizations applying. Individual applications do not have this functionality yet.

How to Use Collaboration 

Invite Collaborators to Your Application 

To invite others to work on your application, locate and select the collaboration icon within your application. 

From there, you can send invitations to team members by entering their email addresses to invite. Choose the appropriate role for each person you invite. 

Once invited, collaborators will receive notification and can access only the specific applications they've been invited to work on - they won't see other applications within your organization or have access to the organization profile.

At any time while working on the application, you can change the roles of your team members within this collaborator section.

User Roles and Capabilities 

Lead Applicant 

Lead Applicants can view, edit and submit applications, invite collaborators, accept awards and access post-award features after acceptance. They receive all notifications throughout the project lifecycle. There can be more than one Lead Applicant.

Collaborator 

Collaborators can view and edit applications but cannot submit the application nor can they invite others, accept awards or access post-award management features. Collaborators will receive email notifications regarding the application they are working on.

Profile Owner 

Profile Owners have organization-wide access to all applications, can reassign user roles, and can promote team members to Lead Applicant status. The first person to create an organization profile or start the application will be set as the Profile Owner and they can invite other Profile Owners.

Manage Applications when Team Members Change

Profile Owners (Applicant/Grantee):


When important team members like grant writers leave your organization, Profile Owners can still access and manage all applications to ensure continuity. To reassign responsibilities, Profile Owners can promote other qualified team members to Profile Owner and remove members.

Go to your Organizational Profile, then select the Organization Members tab:

 

From here, you can view all organization members, remove members when necessary, and change access levels from Organization Member to Profile Owner status.
