Overview

This step-by-step guide shows Program Admins how to disqualify an applicant during an Intake or Review Round in Next.

What is Disqualifying an Applicant?

When you disqualify an applicant, they can no longer be considered for an award. Their application status changes, and they can no longer advance to the next intake or review round, or be selected for awarding.

  • Use this feature when:
    • An applicant no longer meets the program's requirements.
    • An applicant shouldn't move forward in the round for any other reason.
  • Who can disqualify an application?
    • Organization Owners
    • Client Admins (For partner-managed accounts)
    • Program Owners
    • Program Managers

⚠️ Important Notes

  • You can only disqualify one application at a time. 
  • You can only disqualify an application in an active round (For example, if it's advanced from Intake to Review, you can only disqualify the application from the Review Round). 


Step-By-Step Instructions 

Navigate to the Intake or Review Round

  1. In the program, click the cycle name to open the cycle. 

  2. In the award cycle, select the intake or review round from the left-hand menu that contains the application.

    ⚠️Reminder: An application can only be disqualified in an active round.


Disqualify an Applicant

  1. Click the hyperlinked Applicant ID or Applicant Name to open the application.


     
  2. Click Admin Controls in the upper-right corner of the application.



    ⚠️IMPORTANT: Once an application is advanced to the next round in your workflow, the "Disqualify current applicant" option is no longer visible under Admin Controls. Additionally, if an application is in “Draft” status, there will be no options in the Admin Controls panel. 
     
  3. A panel opens on the right-side of the screen. In the Workflow tab, select Disqualify current applicant, then click Next in the bottom-right corner of the panel.


     
  4. Select the reason for disqualification, then click Submit.


     
    • If you select Other, enter a reason in the text box.



      📌 Note: In an intake round, if the application was submitted late, you'll also see the option to select “It was submitted late.”
       
  5. On the confirmation pop-up, click Disqualify.

  • A notification appears in the bottom-left corner of the screen confirming the application was disqualified.
     


What Happens After Disqualifying an Applicant?

Application Status

  • Admin View:
    • In an Intake Round: Application status changes to “Submitted (Disqualified).”
    • In a Review Round: Application status changes to “Disqualified.”
  • Applicant View:
    • The application status changes to “Disqualified.”

Reviewer Experience

  • Reviewers cannot add feedback to a disqualified application. They will still see the application in their review assignments list, but the Add Feedback button in the application will not be clickable. 
     

How to View Disqualification Reason 

If a program admin wants to view the reason for an application being disqualified, follow the steps below:

  1. Open the disqualified application in the intake or review round where it was disqualified: Click the hyperlinked Applicant ID or Applicant Name to open the application.


     
  2. Click Admin Controls in the upper-right corner of the application. 



     
  3. A panel opens on the right-side of the screen. In the Workflow tab, select View disqualification details, then click Next in the bottom-right corner of the panel.


     
  4. Review the selected reason, then click Done in the bottom-right corner of the panel.
