Overview
This step-by-step guide shows Program Admins how to request a revision from an applicant during an Intake or Review Round in Next.
What is Requesting a Revision?
Requesting a revision asks an applicant to update specific fields in their intake form before the application can move forward.

Use this feature when:
- An applicant's submission is missing information or needs a correction before it can be reviewed or moved forward.

Who can request revisions to an application?
- Organization Owners
- Client Admins (For partner-managed accounts)
- Program Owners
- Program Managers
💡Tip: In situations where only a minor edit is needed (such as fixing a spelling error), it may be easier for the admin to edit the application themselves. For more info, see ➡️Edit Submitted Applications.
⚠️ Important Notes
- You can only request a revision on intake form fields — applicant profile fields aren't eligible.
- You can only request a revision in an active round (For example, if it's advanced from Intake to Review, you can only request a revision from the Review Round).
- Applications with pending revision requests (status: "Revision Requested") can still be advanced to the next round.
- Reviewers cannot give or update feedback until the applicant makes the requested changes and resubmits the form.
Step-By-Step Instructions
Navigate to the Intake or Review Round

In the program, click the cycle name to open the cycle.

In the award cycle, select the intake or review round that contains the application from the left-hand menu.
Request a Revision
- Click the hyperlinked Applicant ID or Applicant Name to open the application.
- Click Admin Controls in the upper-right corner of the application.
⚠️IMPORTANT: Once an application is advanced to the next round in your workflow, the "Request a revision to this application" option is no longer visible under Admin Controls.
- A panel opens on the right-side of the screen. In the Workflow tab, select Request a revision to this application, then click Next in the bottom-right corner of the panel.
- Checkboxes will appear next to the intake form fields. Select the fields that need a revision.
⚠️Reminder: You can only request a revision on intake form fields, not the applicant's profile form fields.
📌 Note: In an intake round, if the application was submitted late, you'll also see the option to select “It was submitted late.”
- For each field you select, enter a comment that tells the applicant what to update (required).
- When finished, click Send Request in the bottom-right corner of the panel.
- On the confirmation pop-up, click Send.
- A notification appears in the bottom-left corner of the screen confirming the revision request was sent.
What Happens After Requesting a Revision?
Applicant Email Notification

The applicant receives an automatic email notifying them of a request to revise their application.

Application Status

Admin View:
- In an Intake Round: Application status changes to “Revision Requested.”
- In a Review Round: Application status changes to “Under Review (Revision Requested).”

Applicant View:
- The application status changes to “Revision Requested.”
Reviewer Experience
- Reviewers cannot add feedback to an application with pending revisions. When they click the Add Feedback button in the application, they'll see the following note: "An admin has requested that the applicant revise one or more fields on this form. Feedback will re-open once the applicant has made the requested changes."
Applicant Experience
- When applicants open their application, they'll see a yellow notice and exclamation icon next to the fields or sections that have pending revision requests.
⚠️IMPORTANT: The applicant can only edit what you flagged. Everything else on the form stays locked.
2. On the fields with revisions requested, they'll see a yellow box labeled "Requested Revisions" with the note you included in your revision request. They can add a comment (optional) explaining their changes, then resubmit the application.
📌 Note: If the resubmission happens after the Intake Round deadline, the applicant will see the following message, but they can still submit: "You are submitting this form past the deadline. It must be approved by a program administrator before it can be reviewed. Once submitted, your form will be read-only."
