Overview

This step-by-step guide shows Organization Owners and Client Admins how to approve or deny a pending request from an applicant to join an organization profile in Next.
 


What is a Membership Request?

Applicants who aren't yet affiliated with an organization in Next must request to join before they can apply on the organization's behalf.  A membership request happens when an applicant asks to join an organization that's already in Next. This approval step stops anyone from claiming to represent an organization without permission.

  • Which Admin roles can approve or deny membership requests? 
    • Organization Owners 
    • Client Admins (in partner-managed accounts)
       
  • How does it work? 
    • When an applicant applies for a new opportunity that accepts organization applicants, they’ll see the option, “Search Existing Profiles,” which will walk them through the process of searching for the organization in Next. Once found, they’ll select the organization, and click “Request to join." Their request will be sent to the Profile Owner of that organization (if one exists).  

      Example of Applicant's Experience: 


       
      • Organization Owners and Client Admins can see and access pending membership requests from the Participant Network page in Next; they can open the request and approve/reject it. 
         
      • Organization applicants who are Profile Owners for an organization can also see requests to join the organization in Next; they can approve/reject requests in their applicant portal. 

Email Notifications: When an applicant requests to join an organization, an automatic email is sent to the organization's Profile Owner. 

If there's NO Profile Owner, the email can go to an Organization Owner or Client Admin, but this must be set up first: In your account, go to SettingsAuthentication EmailsMember Approval, select recipients (up to 5), edit the body of the email (if desired), then click Update in the upper-right corner of the screen. Note: If the organization has a Profile Owner, the email will NOT go out to the Organization Owner(s) or Client Admin(s) added here. 


Step-By-Step Instructions

Access Organization Members 

  1. Log into your account, then click Participant Network in the top menu.
     
  2. Find the organization with a pending request. In the Member Requests column, click the hyperlinked number. This opens that organization's Organization Members tab.

  3. In the Organization Members tab, find the member whose status shows Pending Approval on the far right of the table. 


     
  4. Click the gear icon , then select Approve Request or Deny Request from the dropdown.


If approving a request:

  • In the confirmation pop-up, click Approve. 


What happens after approving a request to join? 

  • The applicant’s status is changed from "Pending Approval" to "Member Active," and they are assigned the Organization Member role.

At any time, you can change the new member's role or remove them from the organization. 

 

  • The applicant receives an email confirmation with a link to log into their account. They can now apply to the opportunity on behalf of the organization. 


     

If denying a request: 

  • In the confirmation pop-up, click Deny.

 

What happens after denying a request to join? 

The applicant is removed from the Organization Members list and receives an email letting them know their request was declined.
