Overview

This article shows Organization Owners and Client Admins how to see pending membership requests in the Participant Network and where to go to approve or reject them. 


What is a Membership Request?

Applicants who aren't yet affiliated with an organization in Next must request to join before they can apply on the organization's behalf.  A membership request happens when an applicant asks to join an organization that's already in Next. This approval step stops anyone from claiming to represent an organization without permission. 

Membership requests are only for applicants applying on behalf of an organization. Individual applicants apply on their own, so there's no organization to request to join.

  • Which Admin roles can see pending membership requests? 
    • Organization Owners 
    • Client Admins (in partner-managed accounts) 
  • How does it work? 
    • When an applicant not yet affiliated with an organization tries to apply for a new opportunity, they’ll see the option, “Search Existing Profiles,” which will walk them through the process of searching for the organization in Next. Once found, they’ll click “Request to join," and their request will be sent to the Profile Owner of that organization (if one exists).  

      Example of Applicant's Experience: 


Email Notifications: When an applicant requests to join an organization, an automatic email is sent to the organization's Profile Owner. 

If there's NO Profile Owner, the email can go to an Organization Owner or Client Admin, but this must be set up first: In your account, go to SettingsAuthentication EmailsMember Approval, select recipients (up to 5), edit the body of the email (if desired), then click Update in the upper-right corner of the screen. Currently, this email only triggers in cases where the organization has no Profile Owner.

 


How to See Pending Membership Requests in the Participant Network

  1. Log in to your account, then click Participant Network in the top menu. 

Use the Filter button in the upper-right corner to filter by Participant Type > Organizations, so you only see organization applicants. 

 

2. The second column in the table, Member Requests, shows the number of pending membership requests for each participant. You’ll see one of the following: 

  • Hyperlinked number: The number of people waiting to join the organization. 
  • - - : No pending requests to join the organization. 
  • N/A: Not applicable. Shown for all individual applicants. 

Click the arrow to the right of the Member Requests column header to sort organizations by how many requests they have. 

 

  1. To open requests, click the hyperlinked number in the Member Requests column. 

  • The Organization Members tab for that applicant appears. A yellow triangle with an exclamation icon on the tab tells you that there are membership requests pending. 

 


Next Steps: Approve or Deny Membership Requests 

The count in the Member Requests column in the Participant Network updates as new requests come in, and lowers as requests are resolved.
