Overview

This article shows Program Admins how to run multiple active cycles in a program at the same time in Next.

⚠ To run multiple cycles at once, the parallel cycles feature must be enabled for your organization. To enable it, please contact Support.

What Does it Mean to Run Cycles at the Same Time?

Running cycles at the same time means you can publish a new award cycle while another cycle in the same program is in "Active Workflow" status. Each active cycle runs independently, with its own intake, review, and awarding process.

  • Who can publish an award cycle?
    • Organization Owners
    • Client Admins (in partner-managed accounts)
    • Program Owners
    • Program Managers

Each active cycle has its own Funds, Awards, and Budget Expense Categories. These settings are set up separately for every cycle in a program. A change you make in one cycle does not affect any other active cycle.

How to Publish an Award Cycle While Another is Active

Publishing a cycle while another is active works exactly like publishing any other cycle. Use whichever guide matches where you are:

  1. If you haven't created the new cycle yet, see ➡️ Setting Up Your Next Award Cycle — the final step will walk you through publishing the cycle once it's ready.

  2. B. If the new cycle is already set up and tested, go straight to ➡️ How to Publish an Award Cycle.

What Happens After Publishing Another Cycle

The cycle status will appear as “Active Workflow” on the Award Cycles page in the program. If you have other published cycles that are active, they will show the same status.

Active cycles will be visible to the public on the Opportunities page (see below for the applicant view).

What Applicants See

Opportunities Page

Each active cycle appears as a distinct opportunity on your organization's Opportunities page.

For each active cycle, applicants see:

  • Program name
  • Cycle name with the submission deadline
  • Award type (e.g., Variable Award, Non-Monetary)
  • Preview/Apply buttons (Note: If the program is invite-only, a Preview button won't be available).

Only cycles that are published and open for intake appear on the Opportunities page.

➜ When an applicant clicks:

  • Apply : The application (intake form) for that specific cycle opens. The submitted application goes to that cycle only.

  • Preview: Only that cycle's details (name, deadline, award info, forms) appear.

Program URL: How Applicants Reach the Correct Cycle

In programs with more than one active award cycle, you can share a direct link to the cycle, which will take applicants directly to that cycle's application — they won't need to search for it or choose between listings.

Where to find a cycle's URL:

  1. In the program, click Program Settings.

While the links displayed in Program Settings look the same for every cycle, each cycle actually uses a unique link behind the scenes.

2. Under Program URLs, click the Copy button on the far-right side of the cycle you want to copy.

3. The full link to that specific cycle is copied. Share it with the applicant(s) you want to reach (e.g., paste it into an email, an outreach message, or your own website).

What Reviewers and Approvers See

Reviewers and Approvers can still access all their review and approval work, even when more than one cycle is active. In their account, they can use the Cycle Selector to switch between cycles and see each one's review or approval queue.

Starting a new cycle doesn't interrupt or change review/approval work already in progress on another cycle.

Frequently Asked Questions

  • Is the parallel cycles feature enabled automatically?
    • No. To run multiple cycles at once, the parallel cycles feature must be enabled for your organization. To enable it, please contact Support.

  • Will turning on parallel cycles affect my current active cycles?
    • No. Your active cycles keep running as they are, including any cycles that are open and accepting applications.

  • Can I turn on parallel cycles for only some programs?
    • No. Parallel cycles is an organization-wide setting, not a program-level setting. Once it's enabled, it applies to all programs in your organization. You don't have to publish more than one cycle in a program, though. Each program only runs multiple cycles if you publish them.

  • Can I turn parallel cycles off?
    • To turn parallel cycles on or off, please contact Support. You can't change this setting yourself.

  • Does each active cycle have its own link to share with applicants?
    • Yes. Each cycle in "Active Workflow" status has its own link under Program URLs in Program Settings. Share that cycle's link so applicants go straight to the correct application.

    • All the links look the same in Program Settings, but that's only how they're displayed. Each cycle's full link is unique. To get it, click the Copy button next to the cycle you want. Paste the link anywhere to see its full address.

For step-by-step instructions, see the above section ➡️Program URL: How Applicants Reach the Correct Cycle
