Overview

This step-by-step guide shows Program Admins how to select award candidates and waitlist candidates in a rolling cycle.

  • How to tell which cycle type you have:

    • 🔄 Rolling (must be enabled): You move applications to review one by one as they come in. Rolling cycles must be enabled by a program admin. If you don't see Rolling Applications enabled in Cycle Settings > Workflow Workflow Options, then your program is deadline-based.
       
    • 🗓️ Deadline-Based: You wait for an application deadline to pass, then move all applications to review at once. If your program is deadline-based, see ➡️Select Award Recipients (Deadline-Based Cycles) instead.

What is Award Recipient Selection? 

Award recipient selection is the step where you choose which applicants will move forward to receive an award. In a rolling award cycle, this can happen at any point after an applicant is moved into the last review round, since submissions move through review on an ongoing basis. 

⚠️ IMPORTANT: Selecting award recipients doesn't notify applicants of anything. It simply updates their status internally. Applicants aren't notified until you designate award offers and notify awardees — for more information, see ➡️Designate Award Offers and Agreements.


Step-By-Step Instructions

Access the Review Round 

  1. In the program, click the cycle name to open the cycle. 


     
  2. In the award cycle, click into the final review round. 



    📌 Note: The name of this round reflects whatever title you gave it in the Workflow Builder.

Select Candidates for Awarding 

1. In the review round, click the checkbox to the left of the Applicant ID for each candidate you want to award. 



💡Tip: To select every candidate at once, click the checkbox next to the Applicant ID table header instead. 


 

2. Click the Actions dropdown in the upper-right corner of the screen, then select Select for Awarding. 


 

3. In the pop-up, review the selected candidates, then click Move applications. (To return to the previous screen without moving applications, click Cancel)

To remove a candidate from the list, click the red trash icon next to their name, and they'll be immediately removed. 

  • After clicking Move applications, a new screen will appear briefly that says "Working on it... Moving applications. Please wait...


     
  • When finished, the applicant list reloads, and the selected applicants' checkboxes are greyed out. 

⚠️IMPORTANT: After you select a candidate for awarding, their status updates to "Applicant Selected" in the review round. In the applicant portal, applicants will still see the status "Under Review." They won't see any status changes on their end until award offers are designated and/or awarding is closed.  


Waitlist Candidates 

1. In the review round, click the checkbox to the left of the Applicant ID for each candidate you want to waitlist.


2. In the pop-up, review the waitlisted candidates, then click Move applications. (To return to the previous screen without moving applications, click Cancel)
