Overview
This guide shows applicants how to send, track, and manage request forms in Next. Some programs ask you to collect forms from other people, such as references, recommendation letters, or supervisor verifications, as part of your application.
Note: In this guide, we call the section where you manage your contacts the Request Form section. Your program may use a different name, such as References or Recommendations. Look for the section that asks for your contacts' names and email addresses.
Important: Send your requests and any reminders before you submit your application. Once you submit, you can no longer resend requests or add contacts. Your contacts can still submit their forms after you submit, and their responses will attach to your application automatically.
Keep in mind:
- You will not see what your contacts write. Their responses go directly to the program administrator.
- You will be notified by email when a contact submits their form, and their status updates automatically in your portal, even after you've submitted your application.
- You can see whether a contact has opened your request, resend it as a reminder, remove a contact, or add a new one.
Sending a Request
- Open your application and go to the Request Form section (your program may call it References, Recommendations, or something similar).
- Select Add a New Request
- Enter your contact's name and email address. Double-check the email address — a typo means your contact won't receive the request.
- Click Send Request. Your contact receives an email with a link to complete their form.
- Repeat for as many contacts your program requires.You may want to send more than you need to ensure you reach the minimum required to submit your application.
Tip: Let your contacts know to expect an email from your program, and ask them to check their spam or junk folder for no-reply@wizehive.app.
Tracking Your Requests
Each contact in the Request Form section shows a status tag so you can see where their request stands.
| Status | What it means | What to do next |
| Requested | Your request was emailed to your contact, but they haven't opened it yet. | Give your contact time to respond. If you don't see progress, resend the request as a reminder or confirm their email address. |
| Opened | Your contact opened the request but hasn't submitted their form yet. | Your contact has seen it. Follow up with them directly or resend the request as a reminder. |
| Submitted | Your contact submitted their form. You'll receive an email confirming this. | No further action needed for this contact. You won't be able to view their response. |
Before you submit: If your program requires request forms before submission, make sure every required contact shows Submitted.
After you submit: Your contacts' statuses keep updating automatically. Open your application in the portal anytime to check whether a contact has submitted, and watch your email for a notification when they do.
Sending a Reminder
If a contact hasn't submitted their form, you can resend the request. Your contact gets a new email with the same link.
Note: You can only send reminders before you submit your application. After you submit, the Resend option is no longer available, so follow up with your contact directly.
- Go to the Request Form section of your application.
- Find the contact and click Actions next to their name and then Send Reminder.
- A confirmation message appears letting you know the reminder was sent.
- A new green bell icon will appear to show that a reminder has been sent.
Removing or Adding Contacts
You can remove and add contacts only before you submit your application.
To remove a contact (for example, if they can't respond or you entered the wrong email):
- Find the contact in the Request Form section.
- Click Delete next to their name and confirm.
To add a new contact:
- Click Add Contact (or enter a new name and email in an empty contact field).
- Click Send Request.
Adding additional contacts: Some programs allow more contacts than the minimum required. If your program allows it, you'll see the option to add more. If you don't see it, you've reached the maximum number of contacts for this program.
Common Questions
Can I see what my contact submitted? No. Request form responses go directly to the program administrator and are kept confidential. You'll only be notified that the form was submitted.
How will I know when a contact submits their form? You'll receive an email when each contact submits, and their status changes to Submitted in the Request Form section.
My contact says they never got the email. What do I do? Ask them to check their spam or junk folder and search for no-reply@wizehive.app. Then confirm the email address you entered is correct. If it's wrong, delete the contact and add them again with the correct email.
My contact opened the request but hasn't submitted it. What should I do? The Opened status means they've seen it. Reach out to them directly, and use Resend to send them a reminder email.
Can my contacts submit after I submit my application? Yes. Your contacts can submit their forms after you submit, and their responses attach to your application automatically. You'll get an email when each one submits, and their status updates in your portal. Some programs may require request forms before you can submit, so check your program's instructions.
Can I send reminders or add contacts after I submit? No. Once you submit your application, you can no longer resend requests, remove contacts, or add new ones. Make sure all your contacts are set up before you submit. If you need to make a change after submitting, contact the organization directly.
