Overview
This article shows Program Admins how to reassign a reviewer's applications to other reviewers in a Review Round in Next.
Reviewer reassignment must be enabled for your organization. If you would like this feature enabled, please contact Customer Success.
What is Reviewer Reassignment?
Reviewer reassignment lets you move a reviewer's applications to other reviewers in one step. You pick who gets the applications.
-
When to use: You may want to do this when a reviewer leaves the program or has assignments they can’t finish.
- Who can reassign reviewers: Organization Owners, Client Admins, Program Owners, Program Managers
⚠️ Important Notes
-
Only some applications can be reassigned:
- You can reassign:
- “Not Started” and “Opened” applications.
- “Submitted” applications, if you choose to include them. The original reviewer’s feedback is never deleted, edited, or reopened, and the new reviewer adds their own review.
- You cannot reassign:
- “Started” or “Declined” applications. For declined ones, see ➡️Reassign Declined Review Assignments.
- You can reassign:
-
You can’t choose which specific applications each person gets. To change reviewers on a specific application, see ➡️Assign Reviewers Manually + Unassign (Remove) a Reviewer from an Application.
-
Removing the original reviewer is optional. If you remove them, they’re taken off any applications they haven’t submitted feedback on, but they stay on the ones they have. You’ll make this choice when you confirm the reassignment.
- New reviewers aren't notified about reassigned applications. You may want to let them know they have new applications.
Step-By-Step Instructions
Open the Review Round
- In the program, click the cycle name to open the cycle.
- In the award cycle, select the review round from the left-hand menu.
Open the Reviewer's Applications
- At the top of the review round, click the Viewing dropdown and select Reviewer View.
- You'll see a list of every reviewer in the round. Find the reviewer, then click the hyperlinked number in their All Assignments column.
- The Review Assignments panel opens on the right side of the screen. It lists every application assigned to them. Click Reassign in the bottom-right corner of the panel.
Choose Who Gets the Applications
- The Reassign applications window opens. The top shows how many applications you can move, split into Not Started, Opened, and Submitted.
The Submitted count is grayed out and marked “not included” unless you check Include all submitted applications in step 2. “Started” and “Declined” applications don’t appear here because they can’t be reassigned.
-
(Optional) To also move applications the reviewer already submitted feedback on, check Include all submitted applications.
The original reviewer’s feedback isn’t removed. The new reviewer reviews these applications too.
- Use the Random Distribution toggle to choose how Next hands out the applications:
-
Random Distribution OFF (default): You enter how many applications each reviewer gets. Next hands them out in list order.
-
Random Distribution ON: Next randomly splits the applications among the reviewers. You can’t enter # of Applications when this is on.
-
Random Distribution OFF (default): You enter how many applications each reviewer gets. Next hands them out in list order.
- Under Reviewer 1, select a person from the Select Reviewer dropdown. You can pick anyone in the program: Organization Owners, the Program Owner, Program Managers, Program Staff, or Program Reviewers.
Only people who’ve been invited to the program show up in the list. If someone’s missing, see ➡️ Add New Program Members.
- If Random Distribution is OFF, enter how many applications this person should get in # of Applications.
- To split the applications between more people, click + Add Reviewer.
➜ A new Reviewer row appears. Repeat steps 4–5.
To remove someone, click the trash icon on their row.
The bottom of the window shows how many applications are left for transfer. You don’t have to move all of them, but you can’t give out more than the total.
- Click Reassign in the bottom-right corner of the window.
Confirm the Reassignment
- In the Confirm Reassign applications window, check each reviewer's number of applications Before and After the change.
Is the “After” Total higher on your screen? This happens if you included submitted applications or didn’t remove the original reviewer.
- Choose whether the original reviewer stays on the applications you're moving:
- To remove the original reviewer: Select the checkbox next to Remove [reviewer] from these applications. The applications move to the new reviewer(s), and the original reviewer no longer sees them in their list.
- To keep the original reviewer: Unselect the checkbox next to Remove [reviewer] from these applications. The original and new reviewer(s) are assigned to the applications.
- To remove the original reviewer: Select the checkbox next to Remove [reviewer] from these applications. The applications move to the new reviewer(s), and the original reviewer no longer sees them in their list.
The original reviewer always stays on applications they’ve already submitted.
- Click Confirm and Reassign in the bottom-left corner of the window.
See a “Some selected reviewers already review these applications” error? Someone you picked is already assigned some of the applications. Click Cancel to go back, then lower their number or choose someone else.
- The window closes, and Reviewer View shows each reviewer's new count.
- A confirmation message appears on the screen.
What Happens After Reassigning Applications
- The reassignment is recorded in the audit log.
- New reviewers see the applications in their assignments list right away.
- If you removed the original reviewer, those applications are gone from their assignments list.
Next doesn't email reviewers about reassigned applications, so you may want to notify them outside of the platform.
