Overview
This article shows Program Admins how to turn on progress report editing for their program and edit an awardee’s submitted progress report in Next.
Progress report editing must be enabled for your organization. If you would like this feature enabled, please contact Customer Success.
What is Progress Report Editing?
Progress report editing lets you fix answers on a submitted progress report yourself, without sending it back to the awardee.
-
When to edit a report: Use editing for quick fixes—such as a typo, an incorrect number, or the wrong dropdown option—on submitted or approved reports.
-
When to request a revision instead: If a submitted report is missing information, needs a rewrite, or requires new file uploads, have the awardee revise it themselves. For details, see ➡️ Request Progress Report Revisions.
-
Who can edit reports:
- Organization Owners, Client Admins
- Program Owners (PO), Program Managers (PM), only when editing is turned on for their role in the program.
⚠️ Important Notes
-
Which reports can be edited: Reports with a “Submitted,” “Late Submitted,” or “Approved” status.
- Which fields can be edited: All report fields, including hidden and read-only fields, except file upload fields and the profile snapshot (if the report form includes one).
Step-By-Step Instructions
Turn On Progress Report Editing for PO/PMs
- From the Programs page, click View Program to open the program you want to work in.
- In the program, click Program Settings in the left-hand menu.
- Click the dropdown arrow on the far right of the Member Types section.
- Under Progress Report Editing Permissions, select the checkboxes next to the role(s) you want to allow to edit progress reports: Allow program owner to edit progress reports and/or Allow program managers to edit progress reports.
Both checkboxes are unchecked by default.
The setting applies to every progress report in the program.
- Click Save Changes in the top-right corner of the page.
- A confirmation message appears in the bottom-left corner of the screen: “Saved Member Types.”
Open the Report
- In the program, click the cycle name to open the cycle.
- In the award cycle, click Progress Reports under the Post-Award section in the left-hand menu.
- Click the hyperlinked Report Name to open the report.
Edit the Report
You can only edit “Submitted,” “Late Submitted,” and “Approved” reports.
File upload fields and profile snapshots can't be edited.
While you're editing, you can't approve, reject, or request a revision on the report. Save or cancel your edits first.
- In the report, click the pencil icon
in the upper-right corner of the screen.
- Editable report fields will unlock. Scroll to the fields you need to change and make your edits directly in the report.
- When you’re done, click Save Changes in the upper-right corner of the screen. To discard all of your changes instead, click Cancel.
- A confirmation message appears at the top of the screen: “Report updated.”
What Happens After Saving Edits?
- An Edited tag appears next to each field you changed. Both program admins and the awardee see the tag when they view the report.
- If a program admin or the awardee downloads the report, all saved edits are included, and each edited field shows the Edited tag.
- The report's status stays the same. For example, a “Submitted” report stays “Submitted.”
- Next steps: If the report is still “Submitted” or “Late Submitted,” you can approve it, reject it, or request a revision as usual.
