Overview

This step-by-step guide shows Program Owners and Organization Owners in Next how to reverse an award offer in Next and possible next steps to take (re-offering or voiding the award). 
 


What is Reversing an Award? 

The Reverse Award feature allows you to withdraw an award offer that was sent to an applicant. 

  • Who can reverse award offers? 
    • Program Owners 
    • Organization Owners 

Before You Begin 

⚠️ To reverse an award, “Allow Re-Awarding” must be turned on in your Cycle Setup. 

How to Turn On “Allow Re-Awarding”

  1. Open the award cycle (Program Settings > All Award Cycles > Click Open next to the award cycle). 
     
  2. On the Cycle Settings screen, click Cycle Setup in the top menu. 


     
  3. Toggle Allow Re-Awarding to Yes. 


     
  4. Click Save Changes in the upper-right corner. 


Step-By-Step Instructions 

How to Reverse an Award Offer

  1. In the Award Cycle, click Awarding in the left-hand menu. 


     
  2. Find the applicant with the Offered award you want to reverse. 

    ⚠️IMPORTANT: You can only reverse awards in "Offered" status (after the applicant has been notified). Once the award is "Accepted," it cannot be reversed. 


     
  3. Under the Actions column on the far-right, click Reverse Award

     

  4. In the pop-up, enter an optional note (not visible to applicants), and click Reverse Award. 

 


What Happens After Reversing an Award Offer? 

  • Emails are sent: The applicant and Program Admins receive an automatic email notifying them of the award reversal.

  • Award status changes: The award status changes to “Reversed” in the Program Admin view; application status changes to “Under Review” for applicants. 
     
  • Application stays in Awarding: You can re-offer the award, send a new award, or void the award
  • Activity history updated: On the Awarding page, click the clock icon next to the award’s status to view a full timeline of the award history.


     

What's Next: Re-Offer or Void? 

  Re-Offer Void
Use when You want to resend the award (with or without edits to the award amount and/or agreement). You're certain you will not re-offer this award.
Effect Status returns to "Offered."
Applicant can accept or decline.
Status changes to "Voided." 
Award is permanently cancelled.
You can offer a new award, if applicable.
Funds Remain committed to this award. Return to program's available amount.
Applicant notified? Yes, automatic email. No 
Can it be undone? You can reverse the award again, if needed, as long as the applicant hasn't accepted or declined. No

How to Void a "Reversed" Award

Void when you've reversed an award and you're confident you won't be re-offering it. 

📌 Note: Void is also available for awards in "Declined" status. If an applicant declined and you've decided not to re-offer, you can void directly without reversing first.

  1. From the Awarding page, find the applicant whose award is in "Reversed" status.
  2. Under the Actions column, click the Void icon .

     

  3. In the pop-up, enter a reason, then click Void in the bottom-right corner. A message appears in the bottom-left confirming the award offer was voided. 

After an award is voided: 

  • Award status changes to "Voided" and funds return to your program's available amount. 
  • Application stays in Awarding so you can issue a new award if needed, and the awardee is not notified. 
  • Void is recorded in the award record and visible in the Organization Audit Logs.
