Overview

This step-by-step guide shows Program Admins how to assign award offers and notify award recipients in Next.
 


Before You Begin

1. Select Award Recipients: Before you can create award offers, you must choose your award candidates. If you still need to do this, see ➡️Select Award Recipients.
 


Step-By-Step Instructions 

Open the Awarding Page 

1. After award recipients are chosen, click Awarding in the left-hand menu.


2. The Award Recipients view opens automatically. It shows all candidates selected to receive an award. Scroll to view each candidate.

📌Note: Other views on this page include Waitlisted and Accepted Awards. 


Assign Award Offers to Recipients

1. Find the recipient you want to award.


2. Award Name: From the Select Award dropdown, choose the award to offer. 

⚠️IMPORTANT: If no awards appear, the awards have not been set up for the cycle.  For help, see ➡️Award Names and Award Setup.



3. Award Amount: What you see here depends on the award type.

a. Fixed monetary award: The amount fills in automatically.

b. Variable monetary award: Enter the amount manually.

📌Note: The total amount available for the award appears below the field and updates automatically as awards are assigned.


 

c. Non‑monetary award: “Non‑Monetary” appears automatically.

4. Award Agreement: From the Award Agreement dropdown, select the agreement for the award.

⚠️IMPORTANT: If no award agreements appear in the dropdown list, none have been published in the award cycle.  For help, see ➡️Award Agreement Templates.



5. Click the checkmark to the far-right of the award offer details to save the award offer.  

⚠️IMPORTANT: Saving an award offer does not notify the recipient. Those steps are separate. 

💡Tip: If you make a mistake, click the trash can icon to the far-right of the award offer details to delete the offer, and re-start the process. 
 


Actions Available After Saving an Award Offer 

After at least one award offer is saved for a recipient, you can:

⚠️IMPORTANT: Award offers can only be edited or deleted before the recipient is notified. After notification, edits to the Award Agreement must be made through an amendment.


Edit or Customize the Award Agreement

1. Once the award offer is saved, click the award agreement name next to the saved award offer. 

2. The award agreement opens and can be edited, including adding form fields

📌Note: The full award agreement saves automatically, but you must save changes made to individual fields within the form.

3. When finished, click Back to All in the upper-left corner.


Delete an Award Offer 

⚠️IMPORTANT: Award offers can only be deleted before the recipient is notified.

To remove an award offer:

1. Select the red trash can icon next to the award offer.

2. The offer is immediately removed.



 


Add Another Award Offer

⚠️IMPORTANT: Each award can only be offered once per award candidate.

To add another award offer for a recipient:

1. Click +Add Award below the last saved award offer.

2. A new line appears.

3. Follow the steps above to complete the award offer setup.
 


Notify Award Recipients 

Next allows you to notify recipients individually or in bulk.

⚠️IMPORTANT: If your Award Cycle uses approvals, you will not be able to notify recipients until the awards are approved. For help, see ➡️ How to Request Approvals for Awarding & Disbursements.

Notify a Single Recipient (Individual or Organization Applicant)

Tip: This option is commonly used in Rolling Cycles, where awards are offered on an ongoing basis.

To notify a single recipient: 

1. Make sure the recipient's award offer(s) are saved. 
(If not, please complete the steps above before continuing). 

2. Click Notify in the recipient’s information box next to the award(s) you want to notify.

3. If you want to notify a single recipient about multiple awards at once: 

- Select the awards you want to notify. 
- Click the green Notify Recipients button in the upper-right corner. 

4. In the confirmation pop-up, click Notify.

5. A Recipient Notified message appears in the recipient's information box showing they've been notified.


 


Notify Multiple Recipients (Bulk Notify)

📌Note:  If you only need to notify one recipient, please follow the steps above.

To notify all recipients with saved award offers: 

1. Select the award offers you want to notify for each applicable recipient.

2. Click the green Notify Recipients button in the upper-right corner. 

3. In the confirmation pop-up, click Notify.

4. A Recipient Notified message appears in the recipient's information box showing they've been notified.
