Overview 

This article shows organization applicants who are Profile Owners in Next how to add members to their organization, change member roles, and remove members when team changes occur.


Organization Member Roles & Permissions 

Organization members can be assigned one of the following roles: Profile Owner or Organization Member. Review the roles available before making changes.

Role Access
Profile Owner (There can be more than one) Full access to all applications; can invite team members and assign or reassign roles, including promoting members to Profile Owner. The first person to claim the organization profile or start the application is automatically set as the Profile Owner.
Organization Member* Can initiate and submit their own applications but cannot access applications started by others or manage organization settings.

Step-By-Step Instructions 

Add a Member

  1. Click your name in the upper-right corner and select Your Profiles.

    ⚠️IMPORTANT: Only Profile Owners can access the organization's profile. 


     

  2. Select the Organization Profiles tab at the top of the screen. Then select Organization Members from the left menu.



    📌Note: If you see a yellow exclamation icon next to the Organization Members tab in the left-hand menu, it means you have pending requests to join the organization. For help with this process, see ➡️ Manage Organization Member Requests (coming soon). 

    💡Tip: If you are the Profile Owner for multiple organizations, you can easily switch between them. On the Organization Profile page, locate the Organization dropdown menu. Click the dropdown to see all organizations where you are listed as a profile owner. Select the organization profile you wish to review or edit.


     
  3. Click + Add Member in the bottom-left corner of the Organization Members table. 


     
  4. Enter the member's first name, last name, and email address.


     
  5. Select their role: Profile Owner or Organization Member.


     

  6. Click Invite A confirmation message appears in the bottom-left of the screen: "Invitation Sent."


What happens after I invite a new member? 

  • The new member will receive an email invitation. 

  • Once they accept the invitation, they'll be added to your organization with the assigned role and permissions.

Change a Member's Role

  1. Click your name in the upper-right corner and select Your Profiles.

    IMPORTANT: Only Profile Owners can access the organization's profile. 


     

  2. Select the Organization Profiles tab at the top of the screen. Then select Organization Members from the left menu.

  3. Click the gear icon in the Organization Role column, then select Change Role from the dropdown.

     

  4. Choose the new role, and click Save



    ⚠️IMPORTANT: There must always be at least one Profile Owner. If you try to change the only Profile Owner to an Organization Member, the system will not allow the change and display an error message.  
     
  5. A Changes Saved confirmation appears in the upper-right corner with a timestamp.


What happens after I change a member's role? 

  • Their permissions are updated immediately. They are not notified of the change.

Remove a Member

  1. Click your name in the upper-right corner and select Your Profiles.


     
  2. Select the Organization Profiles tab at the top of the screen. Then select Organization Members from the left menu.

  3. Click the gear icon in the Organization Role column, then select Remove from the dropdown.



    ⚠️IMPORTANT: You cannot remove yourself or the last remaining Profile Owner.
     
  4. In the confirmation pop-up, click Remove. 


What happens after I remove a member? 

  • The member will no longer be affiliated with the organization and cannot start or submit applications on its behalf. They are not notified of the change.
