This article shows awardees how to view and respond to an award termination in Next.
What Happens When Your Award Is Terminated?
Award termination is when a program administrator ends an active award, fully or partially. If an admin terminates your award, you'll be notified by email and can view the details on your award agreement. What you can do next depends on the termination type:
- Mutual Termination: You can review the termination and choose to accept it, request a revision, or decline it.
- Grantor Issued Termination: The termination is final once issued. You can view the details, but cannot take action.
⚠️ Important Notes
- Once a termination starts, your post-award activity — progress reports, disbursements, and expenses — is paused right away.
- Pending reimbursements, reports, and disbursements can still be completed up to the effective termination date. After that date, all post-award activity is frozen.
- Once your award reaches "Terminated" status, no further changes can be made to it.
- For a Grantor Issued Termination, you can't take any action — the agreement is read-only, and you can only view the details.
- If you decline a Mutual Termination, a program admin may still move forward by restarting the process as a Grantor Issued termination.
Step-By-Step Instructions
Review the Termination
- Log in to your applicant portal and go to Your Awards > View.
- Select the Award Agreements tab.
- Find the agreement and click its hyperlinked title to open it — it's retitled Termination, with a status of "Proposed" (if Mutual) or "Terminated" (if Grantor Issued).
- In the agreement, click Termination Request in the upper-right corner. A panel opens showing the reason for termination, program admin's comments, termination mode (Mutual or Grantor Issued), and the effective date.
- Click Review Termination Details to see the full Termination Summary.
Note: The screenshot above shows what the panel looks like for a Grantor Issued Termination. If your termination is Mutual, you'll also see the option to request revisions within the panel - see the next section for help: Respond to a Termination (For Mutual Terminations ONLY).
Respond to a Termination (For Mutual Terminations ONLY)
⚠️IMPORTANT: If your termination is Grantor Issued, there's nothing to do here — the agreement is read-only, and there's no further action you can take.
For a Mutual Termination, you have three options:
1. Request a Revision
- Within the Termination Request panel, enter a comment in "Reason for Revision Request" textbox, upload documents (if needed), then click Request Revision.
➜ What happens after a revision is requested:
- The termination status changes to "Revision Requested."
- The admin receives an email notification, and will review your request.
- The admin can deny it, ask for clarification, or make changes to the termination.
2. Decline:
- Scroll to the bottom of the agreement and click Decline.
➜ What happens after declining:
- The termination status changes to "Declined."
- The admin receives an email notification.
📌Note: The admin can initiate a new termination, if desired.
3. Accept
- Scroll to the bottom of the agreement, select the checkbox next to the acknowledgement statement, then click Accept.
➜ What happens after accepting:
- The termination status changes to "Terminated."
- The admin receives an email notification.
- After the termination date, all post-award activities are frozen.
- Your financials reflect the revised award amount.
