Overview

This guide shows Program Admins how to add Profile Checks to an Award Agreement so awardees can review and update their profile before accepting an award, and a snapshot of their updated profile is captured.  
 


What are Profile Checks in Award Agreements?

Profile Checks give awardees a chance to review and update their profile—such as their name, address, organization details, etc.—before accepting an award.

When the awardee accepts their award, a read-only snapshot of their updated profile is captured and included in the award agreement for program admins to view.

Step-By-Step Instructions 

Enable “Include Profile Form” on an Agreement Template

⚠️IMPORTANT: You can enable profile checks on both published and unpublished agreement templates. 

  • Who can enable “Include Profile Form”? 
    • Organization Owners 
    • Client Admins (in partner-managed accounts)
    • Program Owners 
    • Program Managers 
  1. Open the program, then click the gear icon on the far right of the cycle to open Cycle Settings.


     
  2. In the cycle, click Awarding in the top menu, then select Agreement Templates from the left menu, if not already selected.


     
  3. Click Open on the far right of the template you want to open.


     
  4. Inside the template, click the Actions dropdown button in the upper-right corner of the screen, then select Include Profile.


     
  5. In the pop-up, make sure Include Profile Form is toggled to YES.

 


Choose Which Profile Fields to Include in the Profile Snapshot 

  1. Select which Individual and/or Organization Applicant Profile fields you want program admins to see in the profile snapshot within an awardee’s agreement

    📌Note: Awardees will still see and update all profile fields during verification, regardless of which fields you select. You can return to edit these at any time. 

A. To include ALL profile fields: Select the checkbox next to Individual Applicant Profile or Organization Applicant Profile


B. To include SPECIFIC profile fields: Click the dropdown arrow on the far right of the Individual and/or Organization Applicant Profile, then select the checkboxes next to the fields you want to include.  

  1. Click Save in the bottom-right corner of the pop-up. 

  • A confirmation message appears in the bottom-left corner of the screen.  

 


Awardee Experience

Use this section to understand what awardees see, so you can guide them if they have questions. 
 

When “Include Profile Form” is toggled to YES:

  1. The awardee logs into their portal and opens their agreement (Your Awards > Review Award > Award Agreements).
     
  2. To accept the award, they must scroll to the bottom of the agreement, select the checkbox, and click the button “Accept Agreement and Continue.”


 

  1. A "Verify Your Profile Information" page loads with their current information pre-filled, and they can  make updates as needed. 



    📌Note: Awardees cannot edit read-only fields in the profile.
     
  2. When finished, they click Verify Profile and Accept Award.
     
  3. In the pop-up, they click Accept Award.



    📌 Notes:
  • If ID Verification is enabled for the cycle, awardees are directed to the ID verification flow right after they click Accept Award in the pop-up.
     
  • If Docusign is enabled, Profile Checks can still run alongside it — the flow above (Accept Agreement and Continue, Verify Your Profile screen, Accept Award) still applies.
  1. A confirmation message appears: "Award Accepted!" 
     
  2. A snapshot of their profile, exactly as it looked at acceptance, is attached to the award agreement.

 

When “Include Profile Form” is toggled to NO: The accept button at the bottom of the agreement says “Accept Agreement,” and awardees are not asked to verify their profile before accepting. 
 


View the Profile Snapshot

  1. In the program, click the cycle name to open the cycle. 


     
  2. In the cycle, click Awarding in the left-hand menu. 


     
  3. Locate the awardee, then click the hyperlinked Award Agreement to open it. 


     
  4. In the agreement, you’ll see a “Profile Included” tag at the top.


     
  5. Click the dropdown arrow next to the awardee's name, and select View Profile Form from the list. 


     
  6. A side panel opens showing the awardee's profile snapshot as captured at the time of acceptance. It is read-only. 



    📌Reminder: This snapshot reflects only the fields that were selected when you set up the “include profile” settings in the agreement template. See Choose Which Profile Fields to Include in the Profile Snapshot above for more information.
