Unassign Reviewers

Program Admins can now remove a reviewer from a Review Assignment directly from the Application View — no more support tickets to fix a mis-assignment or free up someone who's overloaded. One click, a quick confirmation, and it's done. Reviewer counts on the page correct themselves automatically, and reviewers are only notified if the change zeroes out their workload for the round — so there's no unnecessary noise.

Reviewers who have already completed their review or have a review in progress can't be removed — their work is preserved and remains part of the record.

How to do this: Go to your Review Round, then, from either the Application View or the Reviewer View, select the hyperlinked number under Assignments, and click Remove next to the reviewer or application.

All Expenses View

A new dedicated page brings every expense line item across every awardee into one comprehensive table — no more drilling down into individual awardee or award flows to find them. See award name, awardee, request title, line item, and status at a glance, all in one place. It's the foundation for filtering and bulk actions on expenses coming next.

How to do this: Go to Program →  Award Cycle Name → Post Award → Expenses

Void Expenses Without an Amendment

Program Admins can now void a logged expense and instantly free up the blocked category and budget amounts — no amendment required. The line item stays on record, but the amount is released right back so the awardee can log new expenses, mirroring the same "discard" experience awardees already know.

Automated emails for Expenses & Reimbursements

Automated emails now extend to financial workflows, keeping grantees updated on submissions, approvals, and disbursements without manual follow-up. Approvers, POs, and PMs can also be notified by sending emails directly to them.

Action: New templates for these emails are enabled by default — take a few minutes to review them and turn off any you don't want sent automatically.

To learn how to set up and customize these email communications, see this overview article.

Note: the help articles will be updated shortly to reflect the new email templates released with this update.

Budget Clawbacks

Program Admins can now record and track partial or complete clawbacks against paid expense line items or disbursements — no more manual tracking in offline spreadsheets. Clawbacks live as their own entry, keeping the original paid item's history intact. ERP-connected? A receivable posts automatically and syncs until reconciled. No ERP? Log repayments manually. Either way, once completed, recovered funds are automatically returned to the budget for reuse.

Available to clients with the Financial Module — contact support to get this turned on, or Customer Success if you'd like to add the module.

Terminate an Award

Amendment Terminations introduces a dedicated Terminate Award action — separate from Initiate Amendment and Reduction — letting Program Owners and Program Managers formally begin ending an active award. Choose whether it's Mutual or Grantor Issued, and close out projects that can't move forward while keeping the record clean.

UI Navigation: Quick Links to your Latest Cycle

Hopefully, everyone’s getting the hang of the new UI we introduced last month. To make day-to-day work a little easier, we've added a quick link to your most recent program cycle right on the Programs page — click it to jump straight into that cycle's applications and review rounds without extra navigation.

Accept Award Configuration on Cycles

Admins can now accept awards on behalf of applicants when needed. A new toggle in Cycle Settings → Workflow Options lets you turn this on for the cycles that need it — while it's on, only admins can accept awards, so you can push through the ones that need to move without applicants accepting on their own. Turn it back off whenever you want applicants accepting for themselves again. Awardees can even get an optional notification when their award is accepted for them.

Because this lives at the cycle level, turning it on for one cycle won't change how any other cycle or program behaves.

How to do this: Go to Program →  Cycle Settings → Workflow Options and toggle on Accept Award.

Once it's on, the Program Owner can accept the award on the applicant's behalf.

Profile Checks in Award Agreement

Admins can now add a profile verification step directly to the Awarding Page, prompting applicants to confirm or update their details as part of accepting the award. A permanent, time-stamped snapshot is captured either way — even if they don't end up accepting — so you always know exactly who and where your applicants were at that critical moment.

How to do this: Go to Award Cycle → Awarding → Agreement Templates. Select the template (published is fine), then Actions → Include Profile. Choose which fields you want awardees to review and update.

Saved Views Enhancement

Admins can now open an application from a saved data view, click back, and land right where they left off — same filters, same sort order. No more losing your place and rebuilding your view every time you check an application.

Bulk User Invites

You told us bulk invites were gone, and you were right — so we brought them back. Admins can invite an entire pool of Reviewers,  Approvers and now also Program Managers at once: just paste a list of email addresses, separated by commas, semicolons, or line breaks. Any typos or duplicates get flagged before anything sends, so you can fix the list without starting over.
