This month brings approvals and on-the-fly reporting for Progress Reports, budgets for direct awards, smoother applicant flows, and more ways to find the records you need.

Reassign Applications from Reviewer View

Program Owners and Program Managers can now move a reviewer's applications to another program member right from Reviewer View, so review rounds stay on schedule when a reviewer can't finish.

Select the reviewer's applications and reassign them, even if feedback has already been submitted.

A Confirm & Reassign step shows the change before it's made and removes the original member from those applications.

Approvers Can Preview the Award Agreement

Approvers can now open the award agreement as a read-only preview right from the approvals table, and approve or reject from the preview.

Program Owners and Program Managers choose the agreement in Awarding Approval Setup. Approvers see the exact agreement the awardee will receive, with that recipient's budget, disbursement schedule, and terms filled in. And can Reject or Approve directly from the Award Agreement preview. That means every approval is made with the full picture, and there's no need to export and share agreements by hand.

Progress Report Enhancements

This release brings three updates that give you more control over Progress Reports after awards go out.

Add Progress Reports Anytime

Program Owners and Program Managers can now add progress reports to accepted awards at any time, without building them into the award agreement or filing an amendment.

From the Accepted Awards view, select one or more awards, then choose Actions → Add Progress Reports. Add one or more reports, each with its own form, reporting period, and due date. Awardees get the standard report-assigned email and see the new report on their Reporting schedule right away.

Edit Submitted Progress Reports

Program Owners and Program Managers can now correct answers on a submitted progress report directly, the same way they edit applications. Small mistakes get fixed right away, without sending the report back to the awardee to resubmit.

Admins choose which roles can edit in Member Types settings, under the new Progress Report Editing Permissions section. Both options are off until you turn them on. Permitted users then click Edit Report on the report's detail view.

Please contact support if you need this setting turned on for your programs.

Progress Report Approvals

Progress Reports now use the same approval routing as Awarding, Expenses, and Disbursements, set up per cycle. When an awardee submits a report, it's automatically routed to your approver groups in order. Approvers can approve, reject, or request revisions, and a clock icon shows Program Owners, Program Managers, and awardees the full approval history.

Every report now gets an auditable sign-off, and funds tied to a report can't be released until it's approved.

Note: Setting up Progress Report Approvals replaces how you manage Progress Reports today in that cycle. Program Owners and Program Managers can no longer approve reports or request revisions; those decisions move to your approvers.

Improved Searching

Finding the right applicant or awardee now takes a quick search instead of scrolling or exporting.

Search by Vendor ID

Program Owners and Program Managers can look up applicants by the Vendor ID on their profile in the Participant Network and when adding an application. This requires the Custom ID feature.

Awardee List Search and Sorting

The Post-Award Awardee List now has a search box, plus sortable Awardee Name and Award Amount columns. The list is sorted by name by default.

Select Awardee Search

The Select Awardee modal in Direct Awarding now includes search and Show per Page controls.

New Data in Advanced Reporting

You can now report on eight new areas of your grant data in Reporting and use them in your custom visualizations and reports.

  • Reimbursements & Expenses: Expense logs and line items (amount, category, type, date, and status), plus reimbursement requests with requested amount, vendor, payee, and invoice details. New prebuilt dashboards for this data are ready to use in the Organization Summary dashboard under Financials.
  • Approvals: Stage, approver, decision date, status, deadline, and rejection reason for award, disbursement, and reimbursement approvals.
  • User Details: Name, email, status, provider type, created date, and last login.
  • Funds & Funders: Contribution amounts, amounts allocated to cycle awards, amount used, and available balance.
  • Round Deadline: Each round's deadline, reportable alongside applications and reviews.
  • Intake Submitted At: The date and time each application was submitted.
  • Review Form Voting & Scoring: Scores, votes, and review type, plus submitted and outstanding review counts and % of reviews completed.
  • Request Forms: Request form responses with status and dates, reportable alongside intake, review, and award data.

That means you can answer questions like "How much has been spent on X category this month?", "Which approvals are still waiting, and on whom?", or "Which rounds close in the next two weeks, and how many applications are still in draft?"

Financial Module Enhancements

This release also brings these improvements for those using our Financial Module:

Budgets on Direct Awards

Direct-award cycles can now include a budget on the award agreement template, so every recipient gets one automatically when you Accept & Notify. Add direct and indirect cost categories once, and they apply to every recipient.

Program Owners and Program Managers can now edit each recipient's budget before Accept & Notify. Add, edit, or remove line items, amounts, and match amounts. Changes apply to that recipient only and never change the template. Awardees can then submit expenses right away.

Fiscal Years & Effective Dates on Codes

Category codes now have an optional Fiscal Year and Effective From/To dates. The same code value can now exist in different fiscal years or date ranges, so you can import next year's codes while this year stays active.

True duplicates (same code, fiscal year or overlapping dates, department, and parent fund) are still blocked when you create or import codes. Fiscal year also appears in code lists, filters, and exports.

Reimbursement Invoice Updates

Creating reimbursement invoices is now more flexible:

  • Pick any line items: Choose individual expense line items from any of an awardee's requests, so the invoice matches exactly what's being reimbursed.

  • Add a primary contact: For organization awardees, select a primary contact who appears on the invoice.

  • US date format: Invoice date fields now use mm/dd/yyyy throughout.

Join Additional Organization Profiles

Organization Applicants who already belong to an organization profile can now search for another existing profile and request to join it. It's ideal for grant writers and consultants who apply on behalf of several organizations, so they no longer need to wait for an invite or create a duplicate profile.

When turned on, a Search Existing Profiles option appears on the Choose Your Organization page. Join requests go to the profile owner for approval, just as they do today, so owners still approve every request.

Note: This setting is off by default. An Organization Owner can turn it on when ready.

Applicant Experience Updates

Three updates help applicants catch mistakes early and finish their applications correctly the first time.

Catch Missed Fields Early

When applicants click Save & Next or Save Draft & Exit Section, any missed required fields are now highlighted inline, with a summary that links to each one. Their progress still saves, so no work is lost.

Paste Verification Codes

Applicants can now paste their email verification code in one step instead of typing it one character at a time.

Clearer Organization ID Lookup

The organization ID search now uses a title and help text you configured for the Organization ID field on the profile, so applicants see your own wording.
