Update Applicant Account Emails as an Admin

Org Owners can now update the login email for Applicants directly from User Management, with no support ticket needed.

The change takes effect right away. The old email stops working immediately, but the account and everything in it stays the same. The user receives a notice at their old address and an invitation at their new address to verify it before logging in. Until they verify, their status shows as Updated. If they were invited to any open invite-only programs, they're automatically re-invited at the new email.

Note: Only users who have already accepted their invitation can have their email updated. If someone hasn't accepted yet, delete their invitation and resend it to the correct email.

UI Updates

This release brings a refreshed Cycle Management experience that makes it easier to find your way around a cycle and move work forward.

New Left-hand Navigation

The left-hand sidenav is now organized into sections that follow the life of a cycle, including a new Financials section. Need more room? Minimize the nav down to just its icons, then expand it again whenever you need it.

Advance Application Improvements

The Advance Application modal now looks and reads the same everywhere you open it. Buttons and titles consistently say "Advance," and the title names the round you're moving to. Duplicate columns have been removed from the table.

Edit Budget at the Award Agreement

Program Owners can now edit the award budget directly in the award agreement during the awarding process. You can change amounts, add or remove line items, and adjust category allocations, all without having to make those changes somewhere else before generating the agreement.

Your edits update the award budget itself, and the agreement preview refreshes to match. Editing is available until the agreement is sent.

After that, changes go through the existing amendment process. Every edit is recorded in the activity log.

Reviewers Can Now Request Revisions

Reviewers can now send submitted applications back for revision without going through a PO/PM. Program Owners and Program Managers can turn it on for each round in Review Round setup. 

Reviewers find Request a Revision under a new button called Reviewer Options. It uses the same flow PO/PMs already use, so the applicant experience doesn't change.

Post-Award Export Improvements

Admins can now export Disbursements, Expenses, and Progress Reports to CSV in a single click. Exports follow your current view, so you can export all the data or just what matches your search and filters.

Each export includes the full audit history. If you use approvals or advanced category codes, the export also includes approval status, approver comments, and category codes. That gives you everything you need for closeout, financial reconciliation, and audits in one place. Exports are delivered through Downloads, and you'll get an email when your file is ready.

Notify Applicants When a Rolling Cycle Closes

Org Owners, Program Owners, and Program Managers can now automatically email applicants who weren't selected for an award when a rolling cycle closes. That includes applicants still in the final review round and anyone on the waitlist.

Add the new Awarding Closed trigger in your cycle's Communications Setup. You can use the ready-made templates or your own, and send the email right away or a set number of days after the cycle closes. The email isn't turned on by default, so be sure to set it up before you close the cycle.

Add Applications on Behalf of Applicants

Org Owners, Program Owners, and Program Managers can now add draft applications directly in Next for applicants already in your Participant Network. It's perfect for applicants who apply by paper, phone, or another method outside of Next. Once a draft is added, you can fill it out using the Edit Application, or the applicant can finish it from their portal. This feature is available for rolling cycles only and is currently in Beta.

Financial Module Enhancements

Financials now has its own space in the navigation at both the program and cycle levels, so all your financial tools are easy to find. 

This release also brings these improvements for those using our Financial Module:

Funding Source Tracking

A new cycle setting lets you link a fund to each expense or disbursement, so every payment is drawn down from the right fund. You choose the fund at the moment the payment is committed, which helps prevent overspending.

Bulk Payment Selection 

Select multiple expenses or disbursements and start payment for all of them at once, instead of one at a time.

Expense Line Item Split 

Split a single expense into two or more line items, such as to charge it to different funding sources. There's no need to send it back to the awardee. Each new line item keeps the original details and uploads and moves through approval and payment on its own. The awardee gets an email explaining the split, and the full history stays in the audit trail. Turn it on in your cycle's Financials settings to start using.

Termination with Clawback and Reinstatement

When terminating an award, you can now create a clawback on any paid disbursement right from the termination steps, just as you void unpaid ones. You set the clawback amount, up to what's been paid. The original disbursement stays as it was, and the clawback is tracked separately until the funds are recovered.

Consistent Currency Formatting 

Dollar amounts now display with comma separators across the platform, so $12500.00 shows as $12,500.00 everywhere you see currency.
